1. Who is responsible for your data

AI Experts is the trading name used on ai-experts.cloud. The legal merchant/controller identity and contact details applicable to your transaction are provided through the checkout, invoice and/or order confirmation where required. Privacy questions and rights requests can be submitted through the contact page.

2. Personal data we may process

Depending on how you use the service, we may process:

• identity and contact information, such as your name and email address;
• order information, such as the service selected, amount, currency, order reference, status and timestamps;
• service-delivery information, such as project descriptions, screenshots, examples, support messages, configuration notes and delivery notes;
• payment administration data, such as payment status, provider reference and refund status;
• contract and consent records, including acceptance of Terms and any request to begin service during a statutory withdrawal period;
• contact-form and withdrawal-request messages;
• limited technical/security information generated by hosting and payment infrastructure, such as request logs needed for security, fraud prevention and troubleshooting.

3. Why we use personal data and our legal bases

Where the GDPR or equivalent rules apply, we process personal data on one or more of these bases:

• Contract: to create and administer your order, coordinate sessions, deliver services, support the work and communicate about the purchase.
• Legal obligation: to keep records required for accounting, taxation, consumer-rights, fraud-prevention or dispute purposes where applicable.
• Legitimate interests: to secure the website, prevent abuse, maintain audit records, improve operational reliability, defend legal claims and respond to genuine business enquiries, provided those interests are not overridden by your rights.
• Consent: where we specifically ask for consent for an optional activity. You can withdraw consent where applicable without affecting processing that was lawful before withdrawal.

4. Payment information

AI Experts does not collect or store card numbers, CVV codes or card expiry dates. When an online card option is available, payment is completed on a third-party hosted checkout. The payment provider processes payment-card and transaction information under its own privacy notice and legal obligations.

5. Information you provide during AI support

Please share only information reasonably necessary for the service. If you provide personal data about employees, customers or other individuals, you are responsible for ensuring you are authorised to share it and for removing unnecessary sensitive data where practical.

Do not send account passwords, private keys, full card details, health records, government identifiers or other highly sensitive information unless a specific lawful and secure workflow has first been agreed.

6. Who may receive personal data

We may share data only as reasonably necessary with categories such as:

• hosting, database, security and infrastructure providers used to operate ai-experts.cloud;
• payment processors and financial-service providers used for payment and refund administration;
• email or communication providers used to respond to enquiries and coordinate services;
• professional advisers, accountants or legal advisers where reasonably necessary;
• public authorities where disclosure is required by applicable law.

We do not sell personal data to advertisers.

7. International processing and transfers

Because AI Experts serves customers internationally and may use global cloud and payment providers, personal data can be processed outside your country and, in some cases, outside the EEA/UK. Where data-protection law requires safeguards for a restricted international transfer, appropriate mechanisms are used by the relevant controller or processor, such as an adequacy framework, approved contractual safeguards or another lawful transfer mechanism.

8. How long we keep information

We retain data only for as long as reasonably necessary for the purpose for which it was collected. The retention period is determined by factors including whether an order remains active, whether support or a dispute is ongoing, security/fraud-prevention needs, and mandatory accounting, tax or legal recordkeeping periods. Data that is no longer needed is deleted or anonymised where reasonably practicable.

9. Security

We use reasonable technical and organisational safeguards appropriate to the service, including server-side credential storage, restricted administrative access, secure hosted card checkout, high-entropy customer payment tokens and transport encryption through HTTPS. No internet service can guarantee absolute security.

10. Cookies and tracking

The core AI Experts storefront does not require advertising cookies to create an order. Essential technical data may be processed by the hosting and security infrastructure to operate and protect the site. If optional analytics, advertising or other non-essential tracking is introduced, this notice and any required consent mechanism should be updated before that tracking is activated.

11. Automated decision-making

The payment-order system may use automated server-side rules to select an available payment route based on operational configuration. This routing does not make a decision about your eligibility for employment, credit, insurance or another similarly significant matter. Payment approval or decline decisions are made by the relevant payment provider under its own systems and obligations.

12. Your data-protection rights

Depending on the law that applies to you, you may have rights to request access to your personal data, correction, deletion, restriction, portability, objection to certain processing, and information about how your data is used. Where processing relies on consent, you may withdraw that consent.

For GDPR requests, we normally respond without undue delay and, where the GDPR applies, within the legally required period. We may ask for information reasonably necessary to verify your identity before releasing or changing personal data.

13. Complaints

If you believe your personal data has been handled unlawfully, please contact us first so we can investigate. Where GDPR rights apply, you may also have the right to complain to the data-protection supervisory authority in your country of residence, place of work or place of the alleged infringement.

14. Children

AI Experts is intended for adults and business users and is not designed for children to purchase services independently. If you believe a child has provided personal data without appropriate authorisation, contact us so we can review it.

15. Changes to this notice

We may update this Privacy Notice when our services, infrastructure or legal obligations change. The current version will be published at this URL with its updated date.
