AI integrations & API implementation

Connect the AI step to the systems where your data and work actually live.

We help connect AI assistants, chatbots and workflow steps to websites, forms, email, CRMs, APIs, webhooks and automation platforms where your technical stack supports it. The work includes data mapping, authentication guidance, payload design, error handling and testing.

Direct answer

What is involved in connecting an AI tool to an API or business system?

A working integration needs more than an API key. We define what event starts the connection, what data is sent, how fields are transformed, what the AI is expected to return, where that result goes and what happens when authentication, validation or the external service fails. We also test representative payloads so the integration is understandable before it becomes part of a live workflow.

What a completed AI integration engagement can look like

These sample scopes demonstrate the implementation path. The exact code, connector and authentication method depend on the selected platforms and your available permissions.

Deliverable A · Form-to-CRM integration

Website form → webhook → AI summary → CRM record and email alert

For a business that wants incoming enquiries turned into structured CRM records with a concise AI-generated summary for the person following up.

  1. Inspect source and destinationReview the form fields, webhook capabilities, CRM fields, available connectors and any authentication requirements.
  2. Define the payloadMap required fields, optional fields, normalization rules and the minimum data needed before the AI step runs.
  3. Configure the AI transformationCreate a bounded instruction that summarizes the enquiry or extracts agreed data into a predictable structure.
  4. Map the CRM writeSend the structured result and original customer data into the correct CRM object, note or task fields.
  5. Add notification and failure behaviorCreate an email or task notification and define what happens if the AI call or CRM write fails.
  6. Test representative payloadsRun valid, incomplete, duplicate and malformed examples and document the final mapping and recovery steps.

Typical outputs

  • Source-to-destination field map
  • Webhook / connector flow specification
  • Structured AI transformation prompt
  • CRM object and property mapping
  • Error / retry / duplicate-handling logic
  • Integration test cases and handover notes
Typical fit: 3–10 sessions depending on platform access
Deliverable B · Knowledge/API connection

Chatbot → approved knowledge API → grounded answer workflow

For a chatbot or assistant that needs current information from an existing internal or external API instead of relying only on static prompt context.

  1. Define the lookup use caseIdentify which user questions require API data, which endpoint provides it and what data should never be exposed.
  2. Map request parametersTranslate the user intent into safe, validated API parameters such as identifiers, date ranges or allowed filters.
  3. Inspect and normalize the responseChoose the fields the AI needs, remove irrelevant data and define how empty or partial responses should be handled.
  4. Configure answer instructionsTell the assistant to answer from returned data, distinguish missing data from zero values and avoid inventing unsupported facts.
  5. Add security and failure pathsKeep secrets server-side where applicable and define behavior for authorization errors, rate limits, timeouts and unavailable data.
  6. Run integration testsTest valid lookups, unknown identifiers, partial data, API errors and user questions that should not trigger the tool.

Typical outputs

  • API use-case and allowed-action specification
  • Request parameter and response field mapping
  • AI tool-use / answer instructions
  • Data exposure and failure rules
  • Test matrix for successful and failed lookups
  • Maintenance / handover documentation
Typical fit: 6–20 sessions depending on API complexity

Security note: do not send API secrets, passwords or private credentials through ordinary messages. Where possible, credentials should be entered directly into the relevant platform by the account owner and kept out of client-side code.

Before implementation

What we need from you

Good integration work depends on documentation, permissions and realistic sample data.

Systems involved

List the website, form, CRM, AI provider, automation platform or API you need to connect.

Documentation

Share relevant API or connector documentation, endpoint references and known platform limits.

Required data flow

Explain which data should move from A to B and what transformation should happen in between.

Safe sample payloads

Provide representative non-sensitive examples of the input and expected output.

Permissions

Confirm which integrations, apps or API access levels are available to your account.

Expected failure behavior

Decide whether failed actions should retry, stop, alert a person or fall back to a manual process.

Scope boundaries

We can implement around available APIs—not invent access a platform does not provide.

Some platforms restrict API access by plan, account type, region or administrator permission. We can diagnose those constraints and suggest alternatives, but we cannot bypass third-party authorization or security controls. External API usage, software subscriptions and hosting remain subject to the relevant provider's pricing and terms.

Integrations are usually one layer of a larger AI workflow

Combine integration work with workflow design, assistants or technical troubleshooting when the project spans several systems.

Need two systems to talk to each other?

Bring the source, destination and the data that needs to move.
